What Does Kes Do?
Kes uses pre-defined, standardised project activities to quickly generate the deliverables of a project.
A deliverable is a document.
At the moment Kes support MS Word documents. We are working on other output such as PDF.
We are also interested in simply creating online deliverables.
What is the main Kes workflow?
There are four basic steps in the workflow:
- Subject matter experts have standardised repetitive work in templates.
- Project Manager find and adds activities based on these template to their projects.
- Project Members execute the activities such as inspections or desk studies.
- Project Managers finally generate the report.
What are Kes projects?
When you first log in to Kes you arrive at the Project overview page. Here you can create a project.
A project is a collection of activities.
At the moment we are making it possible to import ABW projects. You can assign activities to workorders.
You open a project by clicking on its card.
What are Activities
When you opened a project you are presented with the Activity overview page.
Activities essentially map to workorders.
How are the standardised activities created?
The pre-defined project activities are based on templates created by your peers i.e. by Subject Matter Experts.
The expert uses another tool (Kes Studio) to define the template. Anyone can create templates.
How is Kes organized?
Kes is organised in two separate parts.
The first part is called Kes Studio (currently still called Domain Manager). Kes Studio is used by subject matter experts and their knowledge groups to create templates.
The second part is simply called Kes or sometimes Kes Project Manager.
Here you create projects (and soon you can import them from ABW) and you add the activities based on the templates to your project.
Templates standardise what is called activities. All activities have deliverables. Currently a deliverable is always a document (Word). Kes calls this a report.
How Do I Use an Activity?
Once you've added an activity to Kes you can start the activity by simply filling out its required data.
At the moment that means whoever is executing the activity is performing a survey. In the business this is usually called doing an "inspection" or "desk study".
This provides the data necessary for the report. Once all data is collected you can publish the report.
You can download and preview the resulting report at anytime from Kes.
What Are Templates?
Templates are preset formats for a document. Documents are deliverables to clients. At the moment a deliverable is always a Word document but we are changing this soon.
In Kes a template also does work as a project activity. A user can add an activity to her project and this activity is in turn based on a template.
Templates are created and maintained by subject matter experts who peer review the quality and correctness of the template in a knowledge group.
Here is an example of the administration part of a template:
