1. You can create templates in Word. To do this go to Kes and select the option to create word-based template:

2. Fill out the details that describe your template. After you click "Create" the following will happen:

  • It creates an empty Word document in a secure location in Sharepoint.
  • It opens the document in Word Online
  • It loads the Kes Word Add-in

Note that by clicking on the name of your template you return to Kes (web). Also notice there are three tabs: Document, Questions and Blocks.

In Document you will see an overview of all the placeholders you will be adding shortly.
In Questions you configure the questions you want to ask to the visitor in order to gather data for the placeholders.
In Blocks you configure blocks of text and dependencies between blocks.
Let's start with adding a placeholder and asking a question to get data into that placeholder.

4. Select a sentence, or a word or an entire paragraph in your Word document, make sure it is selected by checking it is highlighted. We are going to associate the highlighted text with a question.  If you forget this step, the Add-in will later remind you to associate the question with a text in your document.

In the bottom corner click the plus button and then select "Create a question".

Fill out all the relevant details and save the question. After saving you will notice that the Document overview tab is showing your brand new question (by showing you the placeholder you assigned when creating the question).
Notice that when you click on the placeholder in the Document overview, the placeholder is highlighted in your Word document.

5. Now we are going to provide data to placeholder by answering the question. In a real life situation of course you would not be the person both creating and answering the question, but imagine you  are now taking the role of a customer or coworker. Click on the template name above the placeholders to return to Kes.

6. Publish the template.

7. Now you'll assume the role of a client or coworker. Create a project and add the template you just created to the project.

    1. Go to Projects and create a project.

    2. Add your template to the project.

8. Find the question and answer it.

9. Click the Open Word document in the lower left corner.

10. You will notice that you are redirected to Word Online and a Word document opens. This is the document for the client or coworker that is based on the template you created.

11. Click the SYNCHRONISE button to fetch the anser you gave earlier into this document.

Done! These are the basic steps to create a template in Word. You have now learned to:

    • create a Word-based template
    • create placeholders in a Word document
    • publish the Word-based template
    • add the Word-based template to a Project
    • Synchronise data between your Project and the Word document
